Define the first response
Decide which information the first response can establish: requested service, genuine coverage, relevant timing, and a responsible next step. Answer questions using approved business information. Do not promise pricing, availability, or an appointment beyond the authority of the person or system responding.
Keep the request and useful context together so the customer does not repeat unnecessary information. Assign someone to review exceptions and requests that require judgment. Capture only the information needed to handle the inquiry.
Separate current capability from a proposed workflow
WebElevated’s Atlas Sales Agent page describes a controlled inbound voice and website-chat pilot. Its stated scope includes answering, qualification, and lead capture. WebElevated is the only production tenant in that pilot; additional installations require approval.
Outbound calls, SMS/email sales follow-up, calendar booking, and phone payments are not active in the pilot. A proposed missed-call process must identify the staff member responsible for those next actions rather than turning a future feature into a present service promise.
Review the handoff and exceptions
Use a simple review record: inquiry received, relevant context, assigned person, agreed next action, and actual outcome. A captured lead should remain distinguishable from a reviewed qualified opportunity or booked appointment.
Inspect requests outside coverage, insufficient approved knowledge, unreachable callers, and missed next actions. The record should help a person correct the process. Before selecting automation, verify one representative workflow and the current supported product scope.
- Approved answer boundaries
- Context and responsible person
- Actual next action and outcome
Frequently Asked Questions
